Presenters (Oral and Poster)
Instructions for Oral Presenters
There will be no parallel sessions. A single conference room will be
used for the oral presentations. Be present at least 15 minutes
before the start of your session and let the session chairs know
that you are there. A preparation room will be available with a PC
to try out your presentation.
PowerPoint Presentation is highly encouraged for all speakers.
However, overhead (OH) transparencies can be used if preferred. The
room will have a computerized LCD projection system and an overhead
projector. Speakers who are using PowerPoint presentation should
bring their presentation on a disc or CD only. The PC computer in
conference room has to be used for presentation. Own computers will
not be used to avoid unnecessary delays between speakers.
Presenters must try out all discs or CDs on a PC provided in the
preparation room in advance for virus screening and compatibility.
Please convert your MAC file to be PC compatible before your trip if
you use MAC computer for preparing the presentation. The discs or
CDs should be labeled with the presenters' name and paper number.
Time schedules for talks are as follows. Your session chairs will
give you a warning cutoff to assure that the session remains on
schedule.
Invited Talks 45 minutes plus 5 minutes for discussion;
Contributed Talks 15 minutes plus 5 minutes for discussion;
Warning Cutoff 5 minutes before the end of talk for Invited Oral;
3 minutes before the end of talk for Contributed Oral.
Instructions for Poster Presenters
Oral Poster Introduction: Different to previous years,
you will be required to present a "snapshot" of your poster at the
beginning of your poster session. You will have 1 min ONLY, to
present one OH transparency, which conveys the main idea of the
poster to the audience. Discussion can then take place during the
main Poster session.
After the Oral Poster Introduction, presenters must be at their
posters during the session time for questions and discussions. After
that time, presenters do not have to stay at their posters, but the
posters will be up for viewing during the reception on Monday and
lunch break on other days to allow for more exposure.
Horizontal poster board of 100 cm x 200 cm is provided for each
presenter. Each board has a frame around it. It is double-sided and
will be shared by another presenter on the other side. Poster ID
numbers will be displayed on the upper corner of the boards. Hanging
folders will be affixed to the boards for preprints, preprint
requests and comments.
Each board is covered with fabric that will hold Velcro ("male" or
hook tabs). Tape cannot be used on these boards. It is strongly
recommended that presenters use Velcro for hanging their displays,
as it will give the best results. Velcro and some pushpins will be
provided on-site for those who need them.
All poster sessions are in the Main Conference Hall. It is,
therefore, essential that presenters in each session clear their
boards by the end of the strike down time indicated above to allow
the posters of the next session to be set-up. Materials left on
boards after the removal deadlines will be taken down by our staff.
